"Our business team works closely with local entrepreneurs and we want to maintain active dialogue with them. The municipality of Laukaa wanted to try something new to improve their communications towards local entrepreneurs and businesses. The results were impressive: 60% of the targeted 1,000 entrepreneurs responded to the robocalls. Furthermore, approximately 70 businesses requested a call-back.


Project Overview

Laukaa Development Company, a development company of municipality of Laukaa in Finland, faced the challenge of maintaining efficient contact with over a thousand entrepreneurs and businesses in the region. In response, they turned to a cutting-edge solution: robocall technology. Partnering with On-Time, a leading provider of automated call systems, they embarked on a project that would give new approaches to their outreach strategy.

Implementing the Technology

On-Time facilitated the planning and execution of the campaign. The process was simple yet robust: a text message was sent out to the recipients informing them of an upcoming automated call. This was followed by the robocall, which immediately stated its automated nature and proceeded to ask a series of questions. The recipients had the chance to leave open feedback, enhancing the interaction. If the call was unanswered, the system tried reaching out again, ensuring a maximum contact rate.

This is how the CEO of the Development Company of Laukaa Sanna Jylänki describes it:

"The process goes like this with On-Time: First, a text message is sent to the recipients the day before that this number will receive an automated call. Then there is a call, where it is immediately stated that it is an automated call. Then a few questions and an opportunity to leave open feedback. If the recipient cannot answer the call, the robot will try to call a few times later. If the recipient still doesn't have time to answer, he gets a text message that tells him what the call was about and that he can call that number back."

Project Outcomes

The project was a resounding success. An impressive 60% of the targeted 1,000 entrepreneurs and businesses responded to the robocalls. Furthermore, approximately 70 businesses requested a call-back, demonstrating a keen interest in further engagement. The robocall technology, therefore, did not just improve the reach but also the interaction with the businesses.

Feedback and Learnings

Despite initial skepticism and fear associated with robocalls, the initiative received overwhelmingly positive feedback. This experience reinforced that robocalls can effectively bridge the communication gap between organizations and their clientele or communities, especially when personalization is involved.

"We received really good feedback from local entrepreneurs For this reason, we strongly recommend using robocalls to contact customers or local residents. In these calls, nothing is sold, but the field's information and needs for help are mapped. I recommend that you make recordings with the voices of the leading persons of your company or municipality. Even though it's a robot, it's still more personal and human than an alien voice."
